SMALL TEAM. SPECIALIST KNOWLEDGE.

Software for independent
insurance brokers.
Built for specialist risks.

When a risk needs a proper conversation, a one-size-fits-all process can get in the way. Policy Builder is designed for independent insurance brokers, particularly those working with specialist risks.

Reduce repeated data entry across spreadsheets, documents and disconnected applications. Information collected for a presentation can support the quotation, policy, documents and financial administration that follow, helping your team work from a more consistent record.

YOUR WORKING DAY, IN VIEW

An insurance broker dashboard
that puts work in context.

Review new business, renewal activity and policy statuses from a central dashboard. Move from the wider picture to the client and policy work that needs attention.

Reporting brings policy and business information into view, helping your team identify outstanding work without assembling it from separate spreadsheets.

CLIENT RECORDS AND POLICY SERVICING

Keep policy information
and next actions together.

Access the policy presentation, supporting documents, correspondence and tasks from the policy list. Assigned tasks help your team keep track of ownership, due dates and follow-ups.

New business, renewals and mid-term adjustments sit within the same operational environment, so the detail stays connected as the policy changes.

A CONNECTED POLICY JOURNEY

From presentation to paperwork.

Prepare the risk presentation, manage the insurer submission, produce the quotation and letter, progress to cover, and handle the documents and invoice. Each stage sits within the wider tools your brokerage uses every day.

Risk presentation → Insurer submission → Quotation & letter → Cover → Documents & invoice

Supplier quoting API availability is limited. Insurer connections and any specific integrations should be discussed during your demonstration.

STRAIGHT ANSWERS

Insurance broker software: your questions answered.

What it does, who it suits,
and what to discuss with HBK.

What is Policy Builder?+

Policy Builder is cloud-hosted software supplied by HBK Solutions for independent insurance brokers. It brings together client and prospect records, policy administration, tasks, claims, documents, invoicing and reporting.

Who is Policy Builder designed for?+

It is aimed at small independent insurance broker businesses, including sole traders, small teams and growing brokerages, particularly those handling specialist risks.

Does Policy Builder manage renewals and mid-term adjustments?+

Yes. Policy Builder includes renewal handling and mid-term adjustment functionality alongside new business administration. A demonstration can cover how these areas fit your servicing process.

Can we manage prospects and follow-up tasks?+

Yes. Prospect records include status, next contact dates, notes and documents. Tasks can be assigned to users with due dates and priorities, and linked to prospects, policies or claims.

What reporting is available?+

The platform includes reports covering GWP, commission, policy overview and status, tasks, productivity, operational SLAs and reconciliation. HBK will confirm the reports included in your proposed setup.

Does Policy Builder connect to every insurer?+

No. Supplier quoting APIs are limited and Policy Builder does not provide comprehensive insurer connectivity. Discuss your insurer panel and any required connections with HBK before deciding whether the system is suitable.

Does each brokerage have its own system instance?+

Yes. Each broker business operates in its own instance of Policy Builder, keeping its data separate from other broker businesses.

Can we control what different users can access?+

Policy Builder includes user permissions that control access to system areas and available actions. The permissions for your team can be discussed during configuration.

Does Policy Builder guarantee regulatory compliance?+

No software can guarantee your brokerage’s compliance. Policy Builder supports organised records and consistent administration; your firm remains responsible for its regulatory obligations and procedures.

How do setup, training and pricing work?+

HBK starts with a demonstration and a discussion of your workflows, users and requirements. Configuration, training, support, subscription pricing and any onboarding charges are agreed before implementation.

SIMPLY COMMERCIAL · CUSTOMER EXPERIENCE

Connected administration.
Practical experience.

Policy Builder was developed to address a familiar challenge for smaller brokers: managing more business while keeping the administration manageable.

The challenge

Quotations, policy changes, renewal preparation, invoices and documentation create related work. Managing that work across spreadsheets, Word documents and email can mean repeated data entry and separate records to reconcile.

The approach

HBK developed a connected platform, then refined it through everyday brokerage use. Customer and risk information can be reused through the policy lifecycle, with financial administration and documents linked to the business they concern.

Built for the complications of real business

Mid-term adjustments and fleet changes affect more than the policy itself. Policy Builder brings the related records, documents and finance processes into the same operational environment. Configurable presentations support differing product information requirements.

Oversight and continued development

Reporting helps managers review activity and outstanding work. Structured records, sanctions-check records and audit information support oversight and compliance reviews, while the brokerage retains responsibility for its regulatory obligations.

Development continues to be guided by operational experience and customer requirements, including opportunities for further integration.
